How we show data is current and correct

Understand timestamps, Estimated vs Actual, Fresh/Stale, and when to sync or refresh.

Overview

We show when data was last updated and whether it’s estimated or from your providers so you can trust what you see. Use Last updated / Data as of, Estimated vs Actual, and Fresh / Stale to know if you need to sync or refresh.

Token usage (Tokens page)

  • Last updated — When usage was last written or synced from your providers. Shown as “Xm ago” or “Stale” when older than 15 minutes.
  • Estimated — Costs derived from token counts and our pricing. Good for trends and budgets; can differ from provider bills.
  • Actual — From provider APIs, invoices, or manual entry. Use when matching to bills.
  • Fresh / Stale — Fresh: updated in the last 15 minutes. Stale: older; run Sync or Refresh to pull newer data.
  • System health — “Healthy” means tracking and buffers are fine. “Degraded” or “Unhealthy” may mean delayed or missing data; check Setup.

Costs (Dashboard)

  • Data as of — When cost data was last updated (syncs, imports, or manual entry).
  • Confirmed — From provider APIs, Stripe, bank sync, or manual entry. Matches real bills.
  • Estimated — From token usage and pricing. Good for trends; may differ from final invoices.
  • Refreshing — Use Refresh on the dashboard or run a cost sync so “Data as of” reflects the latest.

When to sync or refresh

If you see Stale or an old Data as of / Last updated, run:

  • Tokens pageSync or Refresh to pull new usage from providers.
  • DashboardRefresh or a cost sync so “Data as of” is up to date.
